Veltronx

Accounting & bookkeeping

Bookkeeping capacity that keeps job costs current without adding to the office headcount.

A construction professional on your coordinated Veltronx team, working alongside AI agents on first-pass entry, handles the daily volume of AP, AR, coding and reconciliation inside your accounting system, so your controller or CPA reviews clean books instead of building them.

The problem this solves

Where the hours go today.

Job cost reports are always a month behind

Invoices sit uncoded, receipts pile up, and by the time costs land against a job it is too late to act on them.

One office manager carries AP, AR, payroll prep and billing

Progress billings, lien waivers and collections compete for the same person's day, and something slips every month.

The CPA is doing bookkeeping at CPA rates

Reconciliations and coding are being done at year-end, expensively, instead of monthly.

Responsibilities

What the team member actually does.

Scoped in writing in your Schedule A. This is the typical shape of the role; yours may include less or more.

  • 01Accounts payable: vendor invoice entry, job and cost-code coding, matching to POs, preparing payment runs for approval
  • 02Accounts receivable: progress billing and invoice preparation from approved schedules of values, statements, collections follow-up
  • 03Bank and credit-card reconciliations and cleanup of uncategorized transactions
  • 04Job cost data entry and maintenance so WIP and cost-to-complete reports reflect current activity
  • 05Preparing lien waiver requests, certified payroll data entry and compliance document tracking where applicable
  • 06Month-end support: accrual lists, reconciliation packages and report preparation for your controller or CPA

Inputs we need

  • Access to your accounting system under your account (least privilege, no bank credentials)
  • Your chart of accounts, cost codes, billing schedules and approval rules
  • A controller, owner or CPA who reviews and approves payments and financials

Outputs you get

  • Coded, entered and matched AP ready for your approval
  • Prepared invoices, pay applications and statements for review
  • Completed reconciliations with exception lists
  • Month-end packages and job cost reports in your format

Review boundary

Veltronx staff prepare and record. Your controller, owner or CPA approves payments, releases billings, signs financial statements and makes financial decisions. Veltronx does not provide tax, audit, assurance or regulated advice and is not a CPA firm.

Working together

  • Approval queues you control for every payment and billing
  • Weekly report with hours by area and open questions
  • Escalation to your account manager for anything unclear

Questions about accounting & bookkeeping.

Is this a CPA or accounting firm?
No. Veltronx provides dedicated bookkeeping support staff who work inside your systems under your review. Tax preparation, audit and regulated advice remain with your CPA.
Will remote staff have access to our bank accounts?
They should not need it. Payment approval and release stay with you; staff prepare payment runs and reconcile from read-only statements or exports you provide.
How is confidentiality handled?
Every assigned team member is bound by written confidentiality obligations under the Master Services Agreement, and you control system access through your own accounts.
