HVAC Contractors

Estimating and back-office capacity for mechanical contractors who bid more than they can staff.

HVAC contractor work carries the heaviest paperwork in the trades: dense drawing sets, equipment schedules, submittals and long procurement chains. Veltronx builds a coordinated team of construction professionals and AI agents around that work, trained on your standards.

What the sector looks like

Where the paperwork actually lives.

Mechanical bids demand ductwork and piping takeoffs across multiple drawing disciplines, equipment schedules with long lead times and vendor pricing that changes between addenda. Capacity, not skill, is usually what limits how many good jobs a contractor can chase, which is why the right fix is a coordinated team rather than a single hire.

On the accounting side, job cost accuracy depends on daily AP coding and timely progress billing against schedules of values. Service divisions add maintenance agreements, renewals and a high volume of small invoices.

Project coordination lives in submittal and RFI logs, equipment procurement tracking and closeout documentation. When one coordinator covers several projects, the logs are the first thing to fall behind.

How the work moves

Notes on the handoff.

Plans in, checked quantities out

Your estimator sends the drawing set and bid form. The team member returns marked-up takeoffs and a populated estimate workbook in your template, ready for pricing review.

Approvals stay with you

Bids, payments and submittals are prepared by Veltronx staff and approved by your estimator, controller or project manager. Nothing goes out under your name without your review.

Hours that overlap your office

Working hours are agreed in your Schedule A so questions get answered during your day, with written handoffs for anything that runs outside it.

FAQ

Questions about hvac contractors.

Do your estimators know commercial HVAC drawings?
Team members are matched to the role's requirements, and the discovery call is where you confirm the trade experience you need. During onboarding they shadow live bids and adopt your standards before working independently.
Can one team member cover estimating and project coordination?
Sometimes, for smaller contractors. For most commercial mechanical firms the two roles have different rhythms and are scoped separately.
Which software do they work in?
Yours: Bluebeam, Trimble/Accubid, McCormick, FastDUCT/FastPIPE, Procore, Sage, QuickBooks and similar, under access you grant. Confirm specific experience during scoping.
